This privacy policy explains which personal data the mobile app Jacobs ERP and the ERP platform of Ets. Jacobs SA process, why, for how long and which rights you have. The app is only intended for employees of Ets. Jacobs SA; the account is created by the employer.

1. Data controller

The controller of your data is:

2. Which data we process

• Account data: name, e-mail address, job title and language.
• Data from the employee register that you view in the app, such as address, emergency contacts, clothing sizes and driver licence.
• Your certificates and training with their expiry date and certificate.
• Your follow-up by the occupational doctor: date, result and next check-up (health data).
• The vehicle assigned to you and its fuel passes.
• Technical data: the time of your last sign-in and, if you allow notifications, the push token of your device.

The app does not use GPS location, does not read your contacts and does not use the microphone. There is no advertising and no data is sold or used for profiling.

3. Why and on which basis

• Performing your employment contract: your details, work equipment and communication.
• Legal obligations: social legislation, the well-being at work act (mandatory training and certificates, VCA) and health surveillance.
• The legitimate interest of Ets. Jacobs SA: a safe and well-working app and account security.

Of the medical follow-up, the app only shows what the occupational doctor communicates to the employer, never the medical file. It is only visible to you and to those at Ets. Jacobs SA who are explicitly entitled to it.

4. Permissions on your device

• Notifications: to let you know, for example when a certificate or medical check-up is about to expire.
• Camera, photos and files: only when you choose a document or photo to upload yourself.

You can withdraw these permissions at any time in your device settings; the app keeps working, but that feature does not.

5. With whom we share data

Your data stays within Ets. Jacobs SA and is only seen by those who need it for their work. For notifications, a service such as Google Firebase Cloud Messaging or Apple Push Notification service may be used; it only receives the push token of your device and the text of the notification. If data is transferred outside the European Union, this happens with appropriate safeguards, such as the standard contractual clauses of the European Commission.

6. Storage and security

• The data is stored on the ERP server of Ets. Jacobs SA and always sent encrypted (HTTPS).
• On your device, the app only keeps a sign-in key, in the secure storage of the device.
• Sensitive data such as the national number, bank account number and driver licence number is stored encrypted.

7. How long we keep data

We keep data as long as needed for your employment and afterwards as long as the law requires. A sign-in key of the app is revoked as soon as you sign out or access is withdrawn.

8. Your rights

You have the right of access, rectification, erasure and restriction of your data, the right to object and the right to data portability, within the limits of the law. Send your request to the contact details above. If you are not satisfied with how we handle your data, you can lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels (www.dataprotectionauthority.be).

Your account is managed by your employer: if you want your account and data deleted, ask the HR department.

9. Changes

We may update this privacy policy, for example when the app gets new features. The date at the top shows when it was last changed.
